The Palestine City Council approved a budget amendment to cover document scanning services for Development Services files dating back to the 1960s during its regular meeting on Monday.
City Director of Development Services Jeffrey Lyons requested the amendment, which will transfer funds from Personnel to Professional Services to cover the cost for document scanning services provided by Ricoh.
“There are approximately 7,600 file folders located in the Development Services Department — one for each address within the city limits,” Lyons said.
Those files contain information including: certificates of occupancy; inspection records (gas, electricity, construction, water and sewer); building permit requests; photographs of constructions; and more.
“Representatives from Ricoh have provided an estimate to scan the contents of each folder into a digital format,” Lyons said. “Although this project was not budgeted, there is money available within the Development Services budget to cover the cost of this project.”
The estimated cost of the projects is $9,220. City Utilities Director Robert Sedgewick has agreed to cover 30 percent of the cost leaving a balance of $6,454 to be covered by Development Services.
Also on Monday, the council:
• HELD a public hearing regarding the annexation of the Homestead at Fort Houston Subdivision, Unit 6, and the west half of Variah Street that is parallel with the east line of Unit 6.
No residents were in attendance to speak for or against annexation. A second meeting will be held at 5:30 p.m. Dec. 10.
• HEARD a report on the city’s Fall Cleanup Day and viewed Departmental Reports from Finance, Public Works, Municipal Court and Police CID — all part of the City Manager’s Report.
• OPENED bids for pickup trucks (Bid No. B2013-03).
• APPROVED the consent agenda, which included minutes of the special meeting on Nov. 21, the work session and regular meeting on June 25 and the work session and regular meeting on Nov. 5.
